Role Summary:

As an Executive Assistant to the CEO, your role is essential in maximizing the CEO's effectiveness and efficiency. Key responsibilities include organizing the CEO’s schedule for meetings, calls, and travel, as well as managing correspondence between the CEO and various stakeholders. The Executive Assistant also prepares agendas and materials for meetings and follows up on action items to ensure accountability. Maintaining confidentiality is crucial, in addition to building and maintaining relationships with key stakeholders. The ideal Executive Assistant possesses a proactive attitude, anticipating the CEO’s needs before they arise. Excellent communication skills are necessary for conveying information clearly, while strong organizational skills enable the management of multiple priorities effectively.

Key Areas of Responsibilities Include but are not limited to:

1. Accounting: Assist with accounting tasks, including tracking expenses and preparing financial reports.
2. Calendar Management: Organize the CEO’s schedule for meetings, calls, and travel.
3. Communication Liaison: Manage correspondence between the CEO and stakeholders.
4. Meeting Coordination: Prepare agendas, materials, and follow up on action items.
5. Travel Arrangements: Handle all travel logistics while accommodating the CEO's preferences.
6. Project Support: Conduct research and prepare reports to assist with strategic initiatives.
7. Confidentiality: Maintain discretion in handling sensitive information.
8. Relationship Management: Build and maintain key stakeholder relationships.

Key Requirements:

1. Bachelor’s Degree: Preferred in Business Administration, Communications, or a related field.
2. 5+ years in an executive assistant or similar role, preferably supporting C-level executives.
3. Able to read, write, and speak Mandarin fluently.
4. Exceptional written and verbal communication skills.
5. Strong organizational skills with the ability to manage multiple priorities and deadlines.
6. Excellent critical thinking and problem-solving abilities.
7. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with project management and scheduling software.
8. Strong ability to prioritize tasks effectively.
9. Strong relationship-building skills with a focus on collaboration and teamwork.
